Wedding Timeline Checklist: What to Do and When

You’re engaged! What now? The short answer is to start with selecting the approximate size and budget of your wedding and the overall style. Next is choosing a date, venue, and vendors. After that, you’ll finalize the guest list, attire, and other key details like invitations and save-the-dates. Below is a more detailed wedding timeline checklist you can follow. 

If you don’t have a wedding planner, it’s a good idea to divide these responsibilities between your partner and yourself, and any other loved ones who offer a helping hand. 

Early Planning (12-18 months out): 

Before doing anything else, take time to celebrate the milestone privately. Tell your closest friends and family personally before announcing the exciting news publicly. (Then enjoy your engagement party!) 

  • Set a budget: How much are you willing to spend? Make sure the budget is realistic and commit to sticking to it. 
  • Determine wedding style: Choose from traditional/classic, fairytale/romantic, modern/minimalist, rustic/country, bohemian/vintage, outdoor/garden, beach/destination, or anything in between. How do you want your wedding day to look and feel? 
  • Make a preliminary guest list: You’ll need an accurate idea of the size of your ceremony and reception before researching your vendors. 
  • Choose a wedding date: This will impact the availability of the venue and other vendors. 
  • Select your venue: Find a location that fits your style and budget and book it early. 
  • Choose your wedding party: Ask your loved ones to be part of the celebration. 
  • Start researching and booking major vendors: This includes photographer, videographer, caterer, baker, florist, band or DJ, and any other key vendors. 

Mid-Planning (6-12 months out): 

  • Finalize the guest list and send out save-the-date cards: Inform guests of the date and location. 
  • Create a wedding website: Provide guests with important information. 
  • Choose your attire (wedding dress, suits or tuxedos, bridesmaid dresses, etc.): Start shopping and arranging alterations. 
  • Design and order wedding invitations: They’ll be addressed and mailed during the final planning stage. 
  • Plan your honeymoon: Research and book your travel arrangements. 
  • Plan your rehearsal dinner: Decide on the location and menu. 
  • Plan your wedding day beauty routine: For you and your wedding party, set up any spa treatments and makeup, and hair appointments. 

Final Planning (0-6 months out): 

  • Send the invitations: It is recommended to mail the invitations 8-12 weeks before the wedding, and request RSVPs four weeks in advance of the wedding. 
  • Book transportation: Determine how you, your wedding party, and your guests are getting where they need to be. 
  • Refine and confirm all the details: Keep in contact with all your vendors. 
  • Order wedding favors: What are you giving guests? 
  • Buy gifts: What are you giving your wedding party? 
  • Write your vows: Meet with your officiant and plan the ceremony script, confirming speeches and readings. 
  • Buy wedding bands: The bride and wedding party may have additional jewelry needs. 
  • Track RSVPs: Follow up on any missing responses. 
  • Get the marriage license: In Wisconsin, the license is valid for 60 days. You may need an appointment at the County Clerk’s office, and both applicants will need to bring a certified birth certificate, government-issued ID, and a Social Security number. Apply at least a week in advance. 

During the final month, you’ll be picking up the altered wedding dress, breaking in the shoes, packing for the honeymoon, and confirming the final headcount with your caterer. 

The most important thing at this stage is to slow down and enjoy the moment so you can stay productive without feeling rushed. In the weeks leading up to the big day, treating yourself to spa treatments and making time for comforting dates with your partner can help. The most important thing is to focus on your partner and keep your relationship first. Throughout your engagement, schedule dates with a “no wedding talk” rule, and on the hard days, practice gratitude and don’t lose sight of why you’re getting married.
